6 Editable Candidate Message Templates for Hiring
6 Editable Candidate Message Templates for Hiring
Copy six candidate messages, from application confirmation to an offer. Adapt the details and include only dates your team can meet.
These are editable starting points, not a sequence to send without review. Replace every item in braces before sending; the placeholders do not assume a particular system or automatic merge fields.
Before you send
- Add the correct name, role, stage, and contact details for the person running the process.
- Include a date only when the team has agreed on it and can meet it. If timing is uncertain, say so.
- Check the date, time, time zone, meeting link or address, and remove instructions that do not apply.
1. Application confirmation
Subject: We received your application — {{role}}
Hi {{first name}}, thank you for applying for the {{role}} position. This confirms your application reached us. After reviewing it, we will let you know whether there is a next step.
If the team has set an update date it can meet, add: “We plan to share an update by {{date}}.” Remove this if timing is not confirmed. Best, {{name and role}}
2. Interview invitation
Subject: Interview invitation — {{role}}
Hi {{first name}}, we would like to invite you to discuss the {{role}} position. Would {{date}} at {{time}} ({{time zone}}) work for you? The meeting will take about {{duration}} and will take place {{format and link or address}}. You will meet with {{interviewer name or role}}.
Please let me know whether that time works. If it does not, feel free to suggest alternatives. Best, {{name and role}}
3. Request for availability
Subject: Your availability for an interview — {{role}}
Hi {{first name}}, we would like to arrange a conversation about the {{role}} position. Could you share two or three time windows on {{date range, if confirmed}}? The meeting will take about {{duration}} and will be {{format}}.
After checking the calendar, we will suggest a time for you to confirm. If no date range is set, remove it and ask for availability without suggesting dates. Best, {{name and role}}
4. Process update or delay
Subject: Hiring process update — {{role}}
Hi {{first name}}, the process for the {{role}} position is taking longer than we expected. We do not have a confirmed decision yet, and I do not want to guess at a date.
Only if the team has approved a date it can meet, add: “We plan to share another update by {{date}}.” Otherwise, leave out that commitment. Thank you for your patience. Best, {{name and role}}
5. Rejection message
Subject: Hiring update — {{role}}
Hi {{first name}}, thank you for the time you spent speaking with us about the {{role}} position. We have decided to continue with candidates whose experience is a closer match for the role’s current needs.
We appreciate your interest in {{company}} and wish you well with your search. Best, {{name and role}}
6. Offer or next step
Subject: Next step for the {{role}} position
Hi {{first name}}, we would like to offer you the {{role}} position. The approved details are {{terms and work arrangement}}, with a proposed start date of {{date}}. Full terms will be shared in {{agreed format or document}}.
Use this only after approval. If the team first wants to discuss terms, write: “We would like to talk about possible terms and the next step.” Add a response deadline only if agreed. Best, {{name and role}}
Final check
Replace every {{…}} field, remove conditional wording that does not apply, and make sure the sender can meet each commitment. Add personal feedback yourself instead of sending a template unchanged.
